The General Data Protection Regulation

The General Data Protection Regulation, known as GDPR, comes into force on 25th May 2018. It is a really positive step towards you having more control over how your data is used and how you are contacted. The changes will also help to better protect your personal data.

What is Personal Data?

Personal data, sometimes called personal information, is any information that someone could use to identify you as an individual. This could be your name, address or date of birth, but also your email address if it includes your name, and what you do for a living.

Who we are

We are Ovenden Bookkeeping and Accounting Services Ltd our registered address is 29 Station Road, Dovercourt, Essex, CO12 5EN. Alan Ovenden is the named person in the practice for managing your personal data.

The data that we hold and what we do with it

  • We hold the personal data both digitally and in paper format of our clients that they give to us to enable us to prepare their accounts and tax returns which we file on their behalf with HMRC.
  • We hold personal data both digitally and in paper format for the employees of client’s for whom we provide a payroll service – collecting and process data, and filing returns with HMRC on a regular basis.
  • We hold personal data of any prospective new client who contacts us about our services. If within 30 days the individual does not register with the practice their paper record is destroyed.
  • We hold personal data of our employees both digitally and in paper format for complying with any statutory legislation and reporting to regulated bodies, for example, HMRC and pension providers who invest funds on behalf of individuals for whom we hold personal data.
  • We hold personal data of clients to comply with the Money Laundering Regulations and our Supervisory Body for this purpose is the Institute of Certified Bookkeepers. www.bookkeepers.com
  • Digital format includes any software applications used for processing data and mobile phones used to contact clients.  
  • We will use personal data to email our quarterly news letter and other tips and advice to clients.

 

Your Right to Object

The new regulation supports your right to have your privacy respected and your data protected. It is designed to give you confidence that the personal information we hold about you is accurate, up to date and well managed and give you easier access to that information if you wish to check or change it.

 

  • You have the right to check the personal data that we hold on you.
  • You may ask for the data specific to your records in the form of a Data Subject Access Request. We will respond to any such request within 1 calendar month of receiving a request and we will not charge for this service.

 

Our Commitment to You

  • We will use your personal data only for the services that we have agreed to provide to you and any reporting requirements on us as required by law.
  • We will respect your privacy and work hard to meet strict regulatory requirements
  • We will not disclose your personal data to third parties without your consent.
